- Send you documents relevant to workshops or our work with you e.g. your profile, post-workshop information, feedback forms, billing and invoicing.
- Provide an Insights Licensed Practitioner (or their authorized administrator) within your organisation (usually an employee of your organisation) your profile to enable them to provide it to you as part of a learning and development intervention
- To administer the workshop booking process
- To update and maintain training and administration records (Company name, venue details, delegate name and email, workshop attended and date)
- Where you have given your consent, to provide your dietary and/or your accessibility requirements to third party hotels and conference venues.
Insights Evaluator Information:
We are a licensed distributor of Insights Learning and Development and we use the Insights Discovery Model and associated tools (e.g. individual Insights Discovery personal profiles and Full Circle feedback profiles) as a part of some of our learning and development interventions. You may therefore provide us with information via the Insights Discovery Evaluator (for which we would have sent you a link). Data Retention
We will retain the personal data you provide only for as long as is necessary to achieve its specified purpose and in accordance with applicable law.
We will contact you periodically to check that your information is still correct and relevant. Please keep us informed if your personal information changes during your relationship with us.
Who has access to your data:
Only the following may be allowed access to any data you or your organisation provide:
- Papillon du Bois authorised employees;
- Papillon du Bois Associates (an associate is a training partner who may faclilate a workshop or coaching on our behalf) or Insights Licensed Practitioners;
- Insights Licensed Practitioners (or their authorised aministrators) working within your organisation (usually an employee of your company);
- Designated administrators (those booking or administrating work with us) within your organisation;
- Third party service providers, who process data on our behalf.
We will not otherwise share your information with third parties unless you ask us to, we have your consent to do so, it is required in order for us to provide the products and/or services you have requested or it is necessary to comply with a legal obligation or to enforce legal rights.
In the event that we sell our business, part of our business or any of our assets, to any third party, we may transfer your personal information to those third parties as a part of that sale.
Where your data is stored and how we keep it secure
Papillon du Bois has systems and software designed to prevent unauthorized access, improper use or disclosure, unauthorized modification, unlawful destruction and accidental loss of the data we control.

Papillon du Bois provides products and services to customers around the world. We will only transfer your data outside of the European Economic Area (“EEA”) in the following situations:

Terms and Conditions
Papillon du Bois Ltd is a Training Company who supply a range of Training, Coaching, Mentoring and Learning and Development services and products to its clients. The following terms and conditions relate to the supply of these services and products. By booking or ordering any of these services or products, clients agree to the following terms and conditions of business.
Papillon du Bois Ltd is not subject to any other terms and conditions requested or supplied by the client, unless otherwise agreed by Papillon du Bois in writing, including terms and conditions incorporated into any purchase order or other document issued by the client after the date of the client’s receipt of these standard terms of business.
- Company Details:
Papillon du Bois Limited is registered in England and Wales at Epsilon House, The Square, Gloucester Business Park, Gloucester, Gloucestershire, GL3 4AD, Company No. 2756339 with it’s trading address at 8 Bicklays Barn, Kyneton Green Farm, Thornbury, Bristol BS35 3JZ.
2. Payment Terms and Pricing:
The price will be in Pounds (£) Sterling and will be subject to VAT at the rate in force at the time the product or service is provided. Charges will be invoiced in advance of the delivery of products and services and payment is due (in Pounds (£) Sterling) within 14 days of the date of invoice. If Papillon du Bois Ltd is required to confirm a Purchase Order Number on invoices, the Purchase Order Number must be supplied to Papillon du Bois in advance of delivery of services and products. If any payment is not received within 14 days of the date of invoice, Papillon du Bois Ltd shall be entitled to cancel or suspend any further delivery of services and products. Papillon du Bois reserves the right to charge interest on the amount unpaid at the rate of three per cent (3%) per month, compounded monthly, above the Bank of England base rate, on all overdue accounts, until full payment has been received.
If the Client makes changes to the request to supply the services and products in any way e.g. by increasing the numbers of delegates, then the company has the right to increase prices.
If through unforeseen circumstances, the Company is forced to increase prices or alter the delivery of the services and products; the Client shall be entitled to cancel the booking within 7 days of the announcement of the change.
3. Expenses:
Papillon du Bois will charge for all reasonable expenses incurred in relation to the provision of services and products, including but not restricted to all travel, hotel accommodation and meals for the facilitator(s). Travel by road will be charged at £0.45 per mile, travel by train or air will be charged at cost. Wherever possible these expenses will be agreed in advance.
4. Costs:
The venue location/choice and any associated costs for any event are the responsibility of the client unless otherwise specifically agreed in writing.
Should Papillon du Bois Ltd need to send any material or resources to the client’s chosen venue in preparation for delivery of the services and products, any carriage charges to/from the venue shall be paid by the client.
5. Cancellation:
Cancellation by the client of any services and products will be subject to the charges below:
a) Cancellations made 9 weeks or more before the first day of the event – No charge to the client organisation for the fee or material costs. 100% of non-recoverable expenses will be due.
b) Cancellations made between 4 and 8 weeks before the first day of the event – 50% of the fee and materials costs and 100% of non-recoverable expenses will be due.
c) Cancellations made within 4 weeks of the first day of the event – 100 % of the fee, materials costs and non-recoverable expenses will be due
Cancellation by Papillon du Bois Ltd:
The time frames quoted for delivery of Papillon du Bois Ltd.’s services and products are approximate only. Papillon du Bois Ltd will use all reasonable endeavours to meet the proposed timetable. Papillon du Bois Ltd shall not be liable for any claims resulting from any delays in delivery howsoever caused. In particular, clients must ensure that Papillon du Bois Ltd receives all requested information (including any pre-course preparation work) by the required dates. Failure to supply this information in a timely way may affect Papillon du Bois Ltd.’s ability to supply its services and products.
All causes beyond Papillon du Bois Ltd.’s control such as fire, shortages of food, drink, supplies or labour, industrial disputes, bad weather or Force Majeure, etc. will not mean Papillon du Bois Ltd is liable for any delay in performing or failing to perform its duties. Papillon du Bois Ltd will make reasonable endeavours to rearrange delivery of the products and services at a time which is mutually convenient for Papillon du Bois and the client.
6. Intellectual Property:
Any and all intellectual property rights used or generated by Papillon du Bois Ltd or The Insights Group Ltd in the provision of the services and products shall be the exclusive property of Papillon du Bois Ltd or The Insights Group Ltd. Clients are not entitled to amend, modify, copy, adapt or re-use Papillon du Bois Ltd.’s or The Insights Group Ltd.’s intellectual property or in any way, alter, obliterate, conceal, or copy any intellectual property rights of Papillon du Bois Ltd or The Insights Group Ltd. Clients must not copy, produce, make, modify, manufacture, supply or assist any other party to copy, produce, make, modify, manufacture or supply Papillon du Bois Ltd.’s or The Insights Group Ltd.’s products, services, or any material incorporating Papillon du Bois Ltd.’s or The Insights Group Ltd.’s intellectual property or any part thereof for use, sale, or other purpose. Through the sale of services and products, Papillon du Bois Ltd grants a non-exclusive and non-transferable licence to Papillon du Bois Ltd.’s client to utilise Papillon du Bois Ltd.’s intellectual property and the products and services for the purposes of internal learning and development only, and only when an authorised Facilitator from papillon du bois is present, subject to the payment of all applicable charges. The products and services and the related intellectual property rights cannot be used and/or delivered by anyone other than an authorised papillon du bois Ltd. Facilitator and they cannot be delivered to unauthorised participants or third parties in any way.
7. Privacy:
Papillon du Bois Ltd.’s Privacy Policy is amended and updated from time to time to adhere with current law. Papillon du Bois Ltd.’s current Privacy Policy can always be found at www.pdub.com/get-in-touch/.
8. Liability:
Papillon du Bois shall use reasonable skill and diligence in the delivery and performance of products and services. However, all warranties and representations are excluded to the fullest extent permitted by law and Papillon du Bois Ltd shall be under no liability in respect of any deficiency in the services and products and shall not be liable for any consequential or indirect loss whatsoever which arises out of or in connection with the supply or use of services and products.
The Company shall not be liable for any loss or damage to the Client’s property, howsoever caused. The Client shall indemnify Papillon du Bois Ltd against all costs, charges, claims, expenses, demands, and liabilities incurred by or made against Papillon du Bois Ltd as a result of the negligence or wilful default of the client or any of its employees or guests.
The orderly conduct of any Client, their employees or their guests is the responsibility of the Client.
9. Personal liability:
All persons attending an event do so at their own risk and on the strict understanding that Papillon du Bois Ltd does not accept liability for personal injury or damage.
10. Bribery & Corruption:
Papillon du Bois Ltd has a zero tolerance approach to bribery and corruption. Clients are requested to report any instance of suspected or actual improper conduct by any Papillon du Bois Ltd employee or other person engaged by Papillon du Bois Ltd in confidence to Papillon du Bois Ltd.’s Managing Director at the address set out above.
11. Dispute:
These terms of business and the provision of products and services shall be governed by English law unless otherwise agreed. Papillon du Bois Ltd will attempt in good faith to resolve any dispute or claim arising out of or relating to the provision of its services and products through negotiations.
12. Precedence:
In the event that Papillon du Bois Ltd enters into an agreement for the supply of services and products with a client and there is any conflict between the terms of that agreement and these standards terms and conditions, the terms of the agreement for the supply of services and products shall take precedence.
